Proposed updated Meet Policy

With the major rewrite of our constitution all language about our national meet was taken out and left for our Board of Directors to address with club policies.  Below is my proposal posted here for member comments.  After a couple weeks I'll put the proposal with possible revisions before the board to consider, perhaps tweak, and vote on.

Club Meets - This policy, as set by the Board of Directors, outlines the procedures for requesting and placing Club meets.

The club has two tiers or levels where awards are awarded in Open Show competition.
1. With three or more exhibitors of Ameraucanas in a class (bantam or large fowl) a ribbon is earned for Best of Breed.
2. With five or more exhibitors of Ameraucanas in a class (bantam or large fowl) a ribbon is also earned for Reserve of Breed.

In Open Show competition we offer...
•   a Best of Breed Ribbon, with 3 or more bantam exhibitors.
•   a Best of Breed Ribbon, with 3 or more large fowl exhibitors.
•   a Reserve of Breed Ribbon with 5 or more bantam exhibitors.
•   a Reserve of Breed Ribbon with 5 or more large fowl exhibitors.
In Junior competition, regardless of the number of exhibitors of Ameraucanas in a class, we offer...
•   a ribbon for Best of Breed bantam.
•   a ribbon for Best of Breed large fowl.

Nonmembers exhibiting Ameraucanas count as exhibitors, but are not eligible for club awards or points.  If a member and his/her children enter a meet as individuals, they compete against each other for purposes of club awards and points.

Club meets may be placed by the Director in charge of meets when a member requests a meet for a specific show They plan to exhibit Ameraucanas at, in time for the meet to be publicized in the quarterly Ameraucana Newsletter prior to the show's entry deadline.   Members need to know well in advance when and where meets are placed for planning purposes.   Members requesting club meets are strongly encouraged to obtain an exhibitors list and fill out a Meet Report on their own and have it signed by two other Ameraucana exhibitors or the show superintendent.  If an official Meet Report isn’t received from the show superintendent our member’s report will be used.  The Director may refuse to place a sanctioned meet, for up to one year, with a show club that doesn’t submit a show report within sixty days of that show club's prior Ameraucana Alliance meet.  In the event a member is refused placement of a requested meet the Director shall provide an explanation to the member.   If the member is not satisfied, he or she then may appeal the decision in writing to the President, who shall poll the Board of Directors. The Director will have an opportunity to defend his or her decision to the entire Board; an absolute majority vote of the Board of Directors shall be final in any such dispute.

National Meets
– There will be at least one and not more than two annual National Meets.  Our National meets are true national events, of equal importance, and not to be considered merely regional events.  They may include themed titles to differentiate them, such as “2019 Ameraucana Buckeye National”, “Ameraucana Pacific National”, “Ameraucana National - Eh?”, “Ameraucana National Celebration”, “Ameraucana National Challenge”, etc.  Any member may solicit bids/offers from poultry show clubs wishing to host an Ameraucana National Meet and submit them to the President.  Bids must be received by November first to be considered for the club’s National Meets to be held the following fall/winter.  The President shall share the list of bids with the Board members for discussion.  The President will then ask for the Board to vote on the show club bids before November 15th.  The meet(s) will be promoted in the Winter Newsletter.  If a show is cancelled for whatever reason, the President will ask the Board to consider an alternate venue as soon as possible.  Club sponsored awards offered at the annual Ameraucana National Meets will be the same and determined by the Board of Directors.

I really like the the rewording that includes up to two National meets. I think a east coast and west coast National is a great idea. Hopefully we get enough members on board, more importantly to help make this happen. A lot of behind the scene work goes on to make our National Meet a huge success. Perhaps I may need to start planning on attending two each year from now on lol. Looking forward to everyone’s response and discussion on this topic, thanks John.

I feel what clubs call East and West (of the Mississippi) national meets are in essence regional meets, by defining what region they must by located in.  This is one reason I've avoided any language regarding regions of the country.  I do believe it would be best to place them far apart when we do have two in one year, but that could be with both on the same side of the Mississippi like in MN and one in FL or wherever.

We didn't get much input from members on this.  Now the board is considering an updated proposal and we'll be voting on it soon.

I like the idea of having two national meets a year. Many have families and jobs that do not let them travel across country. This will give them a much better chance of being able to attend a national show. For those that do have the flexibility to attend both... lucky ducks!
